Overview
Before an inspection you wonder which records the inspector will want to see and whether everything is at hand. The inspection dossier answers both: you pick the type of inspection and the period, and Herdy assembles a single PDF from it. Whatever is not kept in Herdy, such as prescriptions or the TAM agreement, is listed at the end of the dossier as a checklist so you can add the paper records deliberately.
You reach the page via Reports > Inspection dossier.
The dossier only reads data that is already in Herdy. Nothing is reported, nothing is changed and nothing is sent to the TVD.
Prerequisites
- Your role needs access to the Reports module. Workers and veterinarians cannot reach the page; the journal export remains available for the vet.
- Each dossier type additionally needs the module its data comes from: TAMV, animal welfare and organic need Health, TVD and summering need TVD and Animals. If a module is missing, the card is greyed out.
- The organic dossier requires an organic status in the farm profile, the summering dossier at least one recorded season.
The five dossier types
At the top of the page you choose one of five cards. Each card lists the sections the PDF will contain.
TAMV (veterinary medicinal products)
For the inspection under the Veterinary Medicinal Products Ordinance. Sections: farm and herd veterinarian, treatment journal in the AGRIDEA layout per species, medication inventory, stock on hand, running withdrawal periods, antibiotics without classification. Paper attachments: TAM agreement and visit protocols, prescriptions and delivery notes, application instructions, proof of competence, labels.
Animal welfare RAUS and pasture contribution
For the inspection of the animal welfare programmes. Sections: categories and farm type, monthly outdoor overview, exercise log as an annual grid per category, exceptions and reasons, summering days, journal start and update status. Attachments: time-limited veterinary therapy orders, documented fixations before transport, pasture areas per category.
Organic and labels
For the organic inspection. Sections: treatment journal with doubled withdrawal period, organic treatment counter per animal and year, critical antibiotics, animal register on the reference date with arrivals and departures, exercise log as in the animal welfare dossier, reference to the feeding audit export. Attachments: organic certificates of the farms of origin, exemption permits, antibiograms, milk sample results, delivery notes of feed purchases, AI receipts.
TVD stock and notifications
For the inspection of animal movements. Sections: locations with TVD number and last sync, animal list on the reference date, animal movements with notification latency, open and failed notifications, accompanying documents, counts. Attachments: copies of accompanying documents, ear tag reorders, the TVD animal list from Agate if the inspection body requires the original.
Summering
For the alp inspection. Sections: seasons in the period, alp departure list, stocking assessment, TVD notifications of the season, accompanying documents, treatments during the season. Attachments: accompanying documents, feed and manure journal of the alp, sheep pasture journal, control journal, herd protection concept, management plan.
Period and reference date
Below the cards you choose the period. The default is the last 12 months, as inspection bodies usually require. Further presets are Current year, Last year and Last 3 years; the three years correspond to the retention period under TAMV Art. 29. With Since date you set the start freely, for example to the last inspection, with From/To both limits.
The period may span at most five years and may not end in the future. The reference date is always the end of the period, at most today. Animal list and headcount are calculated for that day.
Cover page details
Three fields are optional and appear only on the cover page: the inspection body (with suggestions such as KUT, Agrocontrol or bio.inspecta), the inspection date and a remark. These details are not saved and do not appear in the browser's address bar.
Preview and PDF
On the right you see what the dossier will contain: every section with its count, for example "43 entries, 3 species" or "318 animals on the reference date". Sections without entries are grey; they still appear in the PDF with the note "No entries in the period" so the inspector sees that nothing is missing, nothing happened.
The Create PDF button builds the dossier in your browser and saves it as a file, for example herdy-kontrolldossier-tamv-2025-09-22-2026-09-21.pdf. The PDF contains:
- a cover page with farm, address, TVD number, farm type, species with headcount on the reference date, period, the optional details and the note that the records are kept electronically in Herdy
- a table of contents with page numbers
- a footer on every page with dossier type, farm, TVD number, period and "Page x of y"
- the sections in the order shown on the card
- the attachment checklist with the records kept on paper or by third parties
- signature lines for the animal keeper and the inspector. They are an aid for the inspection day, not an obligation.
Notes shown on the page
- Address missing: If no address is stored in the farm profile, the line on the cover page stays empty. The note leads straight to the farm profile; the dossier is created anyway.
- No TVD number: The cover page shows "not recorded".
- Reference date other than today: Stock on hand and withdrawal periods only know today's state and are not calculated back; the animal list, by contrast, is calculated for the reference date from arrival and departure data. Animals without TVD data appear with their current status.
- Notification deadlines: In the TVD section a notification counts as late when more than three working days lie between the event and the submission (Monday to Friday, public holidays not considered). Births are counted in calendar days.
- Very long sections: Beyond 5,000 rows a section is cut off and marked "shorten the period".

You do not have to go via Reports every time:
